1. Information We Collect

Here's what AdminMail stores to keep the ticket system running:

• User IDs and Usernames: Saved when you open a ticket or use a command, so we know which ticket belongs to who.
• Message Content: Your DMs to the bot get forwarded to the staff ticket channel and kept in the ticket log so staff can follow the conversation.
• Ticket Records: Basic info about each ticket: when it was opened, when it was closed, who closed it, and which channel it was tied to.
• Block Records: If a moderator blocks someone from opening tickets, we store that user's ID and which mod applied it.
• Message Counts: A running tally of messages per user for the leaderboard. We only store the count, not the actual messages.
• Member Records: User IDs, usernames, display names, and join dates, pulled in to build leaderboard data.

2. How We Use Your Information

• To pass your messages along to the right staff team through the ticket system.
• To give staff a history of each ticket for reference.
• To respect any blocks that mods have put in place.
• To power the server leaderboard and message stats.

3. Data Sharing

We don't sell or hand off your data to anyone. The only people who see ticket message content are the server staff on the other end of the ticket.

4. Data Retention and Deletion

Ticket records and message counts stick around for as long as AdminMail is in your server. Want your data gone? Just reach out on Discord and we'll delete it within 7 days. Closed ticket data might hang around briefly for audit purposes before it's fully wiped. If the bot leaves a server, all that server's data can be deleted on request.

5. Data Security and Encryption

Everything lives in a private database on a server only we can get into. Any data moving between the bot and Discord's API is encrypted over TLS. We take sensible steps to keep the data safe, though no system is perfect.

6. Your Rights

You can ask us to see what we have on you, fix anything that's off, or delete it. Hit us up on Discord and we'll take care of it within 7 days.

7. Children's Privacy

AdminMail isn't for anyone under 13. If you think a minor's data got in somehow, let us know right away and we'll remove it.

8. Changes to This Policy

This policy might get updated. The date at the top always shows the latest version. Keeping the bot in your server after an update means you're okay with any changes.
